THE COST OF DISCONNECTED WORK

The small gaps
become expensive.

An invoice in the office. A delivery at the back door. A cost in the till. Your team needs them to agree.

01 / TIME

The same details,
typed again.

Supplier lines get re-entered into the catalogue, the POS and the accounts. Every handover creates more work to check.

Bring the steps together ↗
02 / MARGIN

A new cost.
The old shelf price.

A supplier price increase can change your margin before anyone changes the price on the shelf.

Put the cost change in view ↗
03 / EVIDENCE

Two cases short.
No clear record.

A count, a note and the right evidence give your team something concrete to follow up with the supplier.

Record it at goods-in ↗

Products & supplier records

Keep the catalogue and supplier context together, so descriptions can be matched to known products.

Case & unit intelligence

Make pack sizes visible during matching and receiving. Twelve units per case should mean the same thing throughout.

Cost visibility

Bring a supplier cost change into the review while someone can decide what it means for the shelf price.

BUILT FOR THE FLOOR

At the back door,
every case counts.

Select the delivery. Scan the products. Record what actually arrived. Give the office a clear record of anything that needs following up.

MAKE THE NUMBERS YOURS

Measure the value
across your
working day.

Start with time spent on repeated entry. During your rollout, also track delivery issues followed up and cost changes reviewed. Keep each result separate so you can see what improved.

Then compare that capacity value with your full cost: software, add-ons, hardware, setup and training.

Time released is capacity.

It becomes a cash saving only if it reduces actual spend. Supplier credits and margin changes need their own evidence.

DELIVERY ISSUES

Track the follow-through.

Compare recorded discrepancies with supplier credits actually confirmed.

A PRACTICAL FIRST STEP

See the fit.
Plan the setup.

Explore the workflow in a tailored demo. Review a subscription proposal for your store, then arrange setup and invitations for your team once you decide to proceed.

  1. 01

    A demo around your store

Show us where work slows down. We will demonstrate the relevant workflows and discuss your existing systems.

  2. 02

    A clear subscription proposal

Review the plan, configuration scope, responsibilities and costs before deciding.

  3. 03

    A configured start

Once agreed, we arrange the integration and invite your team as part of onboarding.

BEFORE YOU ASK

Questions from
the back office.

Does someone still review the invoice?

Yes. IntakeBolt extracts and matches the data so your team can check it. Human review and approval remain part of the workflow.

Will it work with our existing POS?

Semtek is the currently supported POS connection. We assess your platform, version and setup before confirming an integration. Other POS connections marked as planned are not yet available.

What happens after I request a demo?

We send useful preparation information and reply to arrange a tailored demo. If IntakeBolt fits, we follow the demo with a subscription proposal covering the plan and configuration scope. Your appointment is confirmed separately.

Can we start using IntakeBolt straight away?

We first demonstrate the workflow and assess your setup. Once you agree to the subscription proposal, we arrange configuration and invite your team as part of onboarding.

What if the delivery arrives before approval?

Receiving can take place against an unapproved invoice. Stock updates remain held until invoice approval; a completed count does not bypass sign-off.

Can receivers work through a connection drop?

Supported receiving work can be queued on the PDA and synced after reconnection. Some actions need a connection, and unresolved sync issues need attention. Confirm the device and offline scope during setup.

Are accounting integrations included?

Xero and QuickBooks Online are add-ons and require configuration. Your proposal identifies the integrations, usage limits and any extra capacity you need.

Can we use it across a supermarket group?

We scope your stores, POS installations and accounting companies before rollout. Each IntakeBolt organisation connects to one accounting tenant per accounting integration, so groups with several accounting companies need an agreed organisation structure. Consolidated group reporting is not currently included.

What costs does the proposal cover?

Your proposal confirms the subscription, allowances, required add-ons and configuration scope. It also identifies any setup, device or additional costs and the agreed billing terms before you decide.
