Privacy notice
This notice covers demo enquiries, contact messages and subscriptions requested through the IntakeBolt marketing site. It explains what we collect, why we use it and how long we keep it.
What we collect
For a demo enquiry, we collect your email address and any business name, store count, POS details and message you provide. We also record the workflow, enquiry type and plan interest you select, together with a request reference, submission time and delivery status so we can process and follow up your request.
Other contact forms may collect your name, company, message, contact type and browser information. Status and product-update subscriptions record the email address and subscription you request. Please do not include invoices, passwords or customer information in these forms.
How we use your information
We use enquiry details to send an automatic acknowledgement and relevant preparation information, assess your requirements, arrange a demo and prepare a subscription proposal where appropriate. A member of the team handles the next steps. A demo enquiry does not create an account or subscribe you to unrelated marketing. We use other messages and subscription requests for the purpose you selected.
Who receives it
Enquiries are stored in our contact system and routed to the IntakeBolt sales inbox, hello@intakebolt.com. Our team and service providers process information to operate the site, store requests and deliver email. These include Cloudflare for website hosting, Supabase for contact storage and Resend for enquiry acknowledgements and internal notifications. Service-incident reports are routed to the team handling status enquiries.
Website measurement
The live site uses Plausible and our website analytics service to understand visits and actions such as opening a product demonstration or selecting a call to action. We do not add your email address, business name or enquiry message to those event properties. Our hosting and delivery providers also process technical information needed to serve and protect the site.

How long we keep it
We retain enquiry contact details for 24 months from your last contact with us, after which the record is deleted. If you become a customer, the separate service agreement and privacy information explain the handling of customer records. You can ask us to stop optional email subscriptions or contact us about deletion using the details below.
Lawful basis
We process this information on the lawful basis of legitimate interest under UK GDPR Art. 6(1)(f); the legitimate interest is responding to business enquiries, assessing product fit and operating the marketing site. Optional email subscriptions are based on your request and consent, which you can withdraw without affecting the handling of an existing enquiry.
Your rights
Depending on the circumstances, you can request access, correction, deletion or restriction of your information, and object to processing. To exercise your rights, write to us at the address below; we will respond within one calendar month. You can also complain to the Information Commissioner's Office.
