Supplier discrepancies
Keep delivery differences, notes and evidence with the relevant record, so the office can follow up a supplier issue without rebuilding the story from messages and memory.
A demonstration first. A scoped subscription proposal before configuration.
When something arrives short, damaged or different from the expected line, the receiver needs to capture it clearly. The person speaking to the supplier needs that context and a record of what happened next.
Keep the issue type, affected quantity and relevant notes with the delivery line. Add evidence where needed for the issue and your receiving process.
Review the delivery difference and supporting detail when following up with the supplier. A clear record helps the next person understand what needs attention.
Record how the issue was handled and the outcome confirmed. Your team remains responsible for the supplier conversation and checking any agreed credit or replacement.
Example follow-up · sample data
A delivery record shows ten cases expected and eight received. The office can ask the supplier to investigate the missing two cases with the count and notes to hand.
A recorded discrepancy is not a recovered credit. Measure supplier credits only when they have actually been confirmed, separately from the number of issues captured.
If the driver takes an item back while receiving is still open, record that resolution against the delivery issue before completion. IntakeBolt keeps the resolution with the discrepancy; this does not provide a general stock-movements workflow for returns made later or elsewhere.
Decide which issues need notes or photographs, which devices the team will use and how outstanding work is handed over.
