THE COST OF DISCONNECTED WORK

Where disconnected work costs you.

An invoice in the office. A delivery at the back door. A cost in the till. Your team needs them to agree.

01 / TIME

The same details,
typed again.

Supplier lines get re-entered into the catalogue, the POS and the accounts. Every handover creates more work to check.

02 / MARGIN

A new cost.

A supplier price increase can change your margin before anyone changes the price on the shelf.

03 / EVIDENCE

No clear record.

A count, a note and the right evidence give your team something concrete to follow up with the supplier.

MAKE THE NUMBERS YOURS

Estimate the value for your shop.

Start with time spent on repeated entry. During your rollout, also track delivery issues followed up and cost changes reviewed. Keep each result separate so you can see what improved.

Then compare that capacity value with your full cost: software, add-ons, hardware, setup and training.

Time released is capacity.

It becomes a cash saving only if it reduces actual spend. Supplier credits and margin changes need their own evidence.

BEFORE YOU ASK

Questions before your demo.

Which modules would suit our team?

Start with the work you want to improve: receiving goods, checking products, reviewing stock and prices, or following up delivery differences. We demonstrate the relevant tools and confirm access, devices and integration requirements in your proposal. Coming-soon capabilities and concepts are clearly labelled and are not included as delivered functionality.

Does IntakeBolt learn as we use it?

It remembers approved supplier descriptions and product codes, helping later invoices match against decisions your team has already checked. Your team can review and correct learnt aliases. Learning helps prepare the work; your team still checks invoices, places orders and approves price changes.

Can IntakeBolt help with stock and pricing decisions?

Yes. Product stock views and reorder guidance use the available stock and sales information. Suggested quantities and approximate reorder timing depend on trusted tracked stock and shelf targets. Where the pricing module is enabled, your team can review margin-based price suggestions. Staff still review the advice, place orders and approve price changes.

Are product rankings, wastage insights and adaptive recommendations available?

These broader capabilities are planned. Our direction includes full stock accounting, product-performance and wastage insights, and more adaptive restocking, pricing and promotion recommendations. A demo and proposal will distinguish the workflows available today from planned development.

Does someone still review the invoice?

Yes. IntakeBolt extracts and matches the data so your team can check it. Human review and approval remain part of the workflow.

Will it work with our existing POS?

Semtek is the currently supported POS connection. We assess your platform, version and setup before confirming an integration. Other POS connections marked as planned are not yet available.

What happens after I request a demo?

We send useful preparation information and reply to arrange a tailored demo. If IntakeBolt fits, we follow the demo with a subscription proposal covering the plan and configuration scope. Your appointment is confirmed separately.

Can we start using IntakeBolt straight away?

We first demonstrate the workflow and assess your setup. Once you agree to the subscription proposal, we arrange configuration and invite your team as part of onboarding.

What if the delivery arrives before approval?

Receiving can take place against an unapproved invoice. Stock updates remain held until invoice approval; a completed count does not bypass sign-off.

Can receivers work through a connection drop?

Supported receiving work can be queued on the PDA and synced after reconnection. Some actions need a connection, and unresolved sync issues need attention. Confirm the device and offline scope during setup.

Are accounting integrations included?

Xero and QuickBooks Online are add-ons and require configuration. Your proposal identifies the integrations, usage limits and any extra capacity you need.

Can we use it across a supermarket group?

We scope your shops, POS installations and accounting companies before rollout. Each IntakeBolt organisation connects to one accounting tenant per accounting integration, so groups with several accounting companies need an agreed organisation structure. Consolidated group reporting is not currently included.

What costs does the proposal cover?

Your proposal confirms the subscription, allowances, required add-ons and configuration scope. It also identifies any setup, device or additional costs and the agreed billing terms before you decide.
